Thank you for registering as a sponsor for Metabolomics 2022! Below are a few things to be aware of to ensure your organization takes advantage of all benefits that come with your sponsorship.

SEND ORGANIZATION LOGO
To place your logo on the conference website and other conference materials, send both a high-res logo (ex. .ai or .eps file, vector art preferred) as well as a .jpg file of your company logo. Send these files to 
info@metabolomics2022.org. Once payment has been received for your sponsorship, the logo will be displayed on the conference website.

ADDITIONAL SPONSORSHIP OPPORTUNITIES
You can elect to broaden the exposure of your company/organization to conference attendees through the add-on sponsorship opportunities. For more information, please review the additional options listed on page 6 of the Sponsorship Brochure.


HOTEL RESERVATIONS
All registrants attending Metabolomics 2022 are responsible for booking their own hotel accommodations. We are pleased to offer you several different hotel options during Metabolomics 2022 at various price points!  Please visit the Hotel Information page on the conference website to book your room. Attendees are responsible for all travel and hotel costs. 


INDIVIDUAL CONFERNCE REGISTRATION
All exhibition staff must be registered to attend Metabolomics 2022 and must wear their Conference badge to gain access to the exhibition area. To access the Exhibitor Portal and take advantage of the discounted and complimentary registrations that come with your sponsorship package, please refer to the "Welcome" email sent to the Sponsor Coordinator. For exhibition staff requiring an "Exhibit Hall Only" badge (no access to science sessions or events outside of the exhibit hall), the cost is $300.00 USD. Note: The person who completed the sponsor registration is NOT registered for the event. Please contact info@metabolomics2022.org with any questions. 

Please register each person with their individual email address, that is separate from the email address used to register your sponsorship. The information on your sponsorship registration will be overwritten when the same email address is used. Each registration needs to have a unique email address to keep the registration records separate in the system.

Booths should be staffed during dedicated exhibit hall hours listed below. The hall will be open all day, however the off-times will have very low traffic. It is up to each sponsor to determine whether or not they will staff their booth during these periods.

EXHIBITION DISPLAY SPACE
All sponsorship packages come only with the space for your display in the Exhibit Area. All schell scheme or custom booth builds are the responsibility of the sponsor. Sponsors are responsible for ordering all other items directly through the Valencia Conference Center. EXHIBITION MANAGEMENT
Exhibitors will work directly with the Valencia Conference Center to organize their booth needs. Contact information and exhibition display details can be found in the Exhibitor Handbook and Exhibitor Order Forms are now also available. 
The deadline to order without incurring rush fees is June 6, 2022

The Conference Organizers request that a company representative be present during exhibition stand move in and move out to supervise the safe delivery, construction, removal and collection of all exhibits. The Organizers will not be held responsible for theft of an Exhibitor's goods, or responsibility for damage to property or lost shipments.

Self-Build Stands Set-Up:
Sunday, June 19, 2022: 12:00 – 20:00
Monday, June 20, 2022: 08:00 – 16:00
All stands must be set up, materials cleared and staff in place by 16:00 on Monday, June 20, 2022.

Self-Build Stands Dismantle:
13:30 – 20:00 on Thursday, June 23, 2022
Please be mindful that attendees will be in the exhibit area moving to and from their Parallel Sessions until 13:30. We cannot allow equipment in this space for tear down until 13:30.
All stands and materials must be cleared by 20:00 on Thursday, June 23, 2022.

Please ensure you advise your stand designers and builders that it must be possible to build and dismantle all stand designs within this timeframe.

Table Top Set-Up:
Monday, June 20, 2022: 08:00 – 16:00
All stands must be set up, materials cleared and staff in place by 16:00 on Monday, June 20, 2022.

Table Top Dismantle:
You may pack up your things beginning at 11:30 on Thursday, June 23, 2022. Please be mindful that attendees will be in the exhibit area moving to and from the Closing Session until 13:30.
All stands and materials must be cleared by 18:00 on Thursday, June 23, 2022.


LEAD MANAGEMENT
As prospects visit your booth, use the conference app to scan the QR code on the back of their badge to collect contact information. The conference app will be available up to 1 week before the conference. The Sponsors connected to your booth through the Exhibitor Portal will have two additional buttons ("Scan Leads", and "View Leads") that attendees will not have access to. To scan your prospects, click on “Scan Leads”. Your camera will open for the QR code to be scanned. Once scanned, if you have created mandatory lead questions through the Exhibitor Portal, those will be viewable at this time. After answering any mandatory lead questions you may have created, the contact will be reflected under “View Leads”Complete contact information and an export will be available in your Exhibitor Portal under “Collected Leads”.  To receive screenshots of the app for a more helpful visual, please email info@metabolomics2022.org.

Lead management profile questions (ex. When do you plan to purchase? Or, What industry are you in?) can be created by your organization. Once the QR code is scanned, a list of custom questions will appear. You will record the answers directly in the conference app. A report of all leads can be downloaded through the Exhibitor Portal. Please use your custom Exhibitor Portal token link, click on Lead Management, then add the questions where indicated. If you cannot find your token link, email info@metabolomics2022.org and one will be sent to you again.


CAREER NIGHT
The Metabolomics 2022 Career Night is welcoming potential employers looking to fill positions in the next year!  Both industry and academic employers are encouraged to sign up for a table, including academic employers with postdoctoral position openings. This networking event will allow you to meet with job candidates during Career Night in Valencia!  Additionally, meeting space will be available to have further discussion with applicants during the conference week. Don’t miss out on these qualified job candidates and click here to sign up for a table at Career Night.      Recommendations to ensure your AD will be viewed as intended:

  • Recommendation of at least .25" margin for live area.

10-Minute Vendor Presentation
The designated Vendor Session will take place on Wednesday, June 21 from 3:30 – 5 p.m. This is a time for our 4 platinum and 4 gold sponsors to provide an overview of the novel instrumentations, tools and services available to the metabolomics community. This is a fast and efficient way for all attendees to get an overview of the latest technology developments in the market.

Each sponsor will have a 10-minute spot on the agenda consisting of a 7-8 minute presentation followed by 2-3 minutes of Q&A with the audience. The presentation should be scientific, where you can highlight novel development of instrumentation (software), tools or services to make the audience aware of your novel developments (not a sales pitch). The previous Vendor Sessions in 2019 were well received, as they were scientific, interesting, and relevant for the audience. If your company will have presentation slides, they can be dropped off at the Presentation Desk at the Valencia Conference Center on Monday, June 20.

Platinum Sponsors are encouraged to use this e-blast to advertise their lunch presentation and generate sign-ups prior to the event.

60-minute oral presentation
Platinum sponsors will be given a 60-minute oral presentation as part of the lunchtime agenda. All conference attendees will receive a box lunch to take to the presentation. Additional food and beverage in your presentation room may be purchased by the sponsor at an additional cost (not included in the sponsorship amount). Please send an email to info@metabolomics2022.org with your 1st and 2nd date preference for your presentation (Tuesday, 6/21, Wednesday, 6/22, or Thursday, 6/23). Every effort to accommodate your preference will be made, however presentation dates are assigned in the order that full payment is received.

An eblast will be sent mid-April to all attendees encouraging them to log into the conference registration system to sign-up for Workshops and Sponsor Presentations. In preparation of this, you have the option to provide a one-page document or webpage to advertise your presentation on the conference website. The Metabolomics 2019 website has examples of past Sponsors’ ads.

Please note: your document or webpage may not include a registration or sign-up button. All registrations for conference related activities must flow through the Metabolomics Society registration system.

To have a description of your Sponsor Presentation included in the conference app, go to the Abstract Submission page and complete the form.  Select “Approved Platinum Session” as your Presentation type. For the Theme and Sub-Topic, select “Other – Platinum 60 min. Sponsor Presentation”. We ask that you complete this by Friday, May 20, 2022 to be included in conference materials.

Insert for delegate conference bags

Corporate poster
Your sponsorship includes space for a corporate poster in the poster sessions on a designated sponsor's board. It is not required that you select a Theme/Sub-topic from the Abstract Submission page, but rather you can present on any topic you'd like. To submit the abstract for your corporate poster, please select the Abstract Submission button, select "Poster" as your Presentation Type and for the Theme and Sub-topic, select "Other - Platinum Sponsor Corporate Poster". The deadline to submit information for your corporate poster to be included in conference materials is Friday, May 20, 2022. The Poster Guidelines provides the specs and requirements for your corporate poster.
